Birthday Wednesday - September 3rd

 


Birthday Wednesday is this coming Wednesday, September 3rd. It's a long-standing tradition here in the library where we celebrate our colleagues who are celebrating birthdays during the month of September. We also love any reason to have eat treats, such as doughnuts or cookies. 

Please stop by the library during the day for doughnuts in the morning & cookies in the afternoon.

Library Closed on Monday, September 1st for Labor Day Holiday

 


The Business/SPEA Library will be CLOSED on Monday, September 1st for the Labor Day Holiday.

Normal library hours will resume on Tuesday, September 2nd at 8:00am

Reminder: The library will be open regular hours on Saturday, August 30th & Sunday, August 31st. If you are scheduled to work either of those days, you are responsible for working your shift or posting a sub notice. 

IU Football Home Game Schedule - Stay Aware of Traffic & Extra People on Game Days

 


IU Football Season has started and with the success of last season, we can expect more excitement surrounding the Hoosiers this year. Home football game days/weekends will see an increase in people & traffic around the stadium, campus & town. For those library staff members who work on game days, your arrival, departure, travel & parking may be affected. You may need to plan routes and/or allow extra time accordingly. Pack your patience & stay safe out there!

If you are tailgating and/or attending any games this season, enjoy yourself, cheer loudly & stay safe as well.

Important Summer Changes Everyone Needs to Know

 


Some important changes happened over the summer that everyone needs to know:

1. Parking Lot behind the Building -- Gates have been put up at the entrance to the back parking lot to prevent people from lining up waiting on their friends, blocking cars & deliveries. Only faculty/staff passes (EM-P, Handicap, SV) and business deliveries (mail) are allowed to enter. Please make other drop off/pick up arrangements for rides from friends or Uber or food deliveries. The gates should be operational starting the first day of classes.

2. New Computers (circulation & reference desks) -- While the Windows 11 operating system won't be a surprise, you'll find the new CPU is much smaller & sitting on the desk near the monitor. 

3. Mouse Jiggle -- The mouse jiggle program isn't on the computers anymore. This was a decision made higher up than us. What you need to know is the computers will go into "lock" mode anytime the mouse isn't moved or keyboard touched for one hour. Anytime this happens, the passphrase will need to be entered to "unlock" the computer once again. We are asking you to make sure you move the mouse at least once every hour. During busy times, this won't be an issue, but during slow times it will. In the event of the computer going into "lock" mode, simply get a supervisor or Sr. PSA to enter the passphrase for you. 

4. New Tap ID Readers for Crimson Cards -- With the new DigitalWallet CrimsonCard app, the IT folks have added new readers for the Crimson Cards to the circulation computers. The front computer has it already & the other computer should be receiving it in the next few weeks. You'll find the new reader next to the old reader. The reader should work for both the DigitalWallet CrimsonCard as well as a physical card. To use, simply tap the card or phone on top of the reader until it registers. If a patron has the IU Mobile App Crimson Card (which is a digital representation of the physical Crimson Card), you will have to type in the barcode displayed on the card or search the patron by email address in Workflows for checkout. Be aware, the tap readers will not work for the mobile card. 

There are five types of ID's that patrons can present to us:

Physical CrimsonCard -- These have both a barcode that can be read by a barcode scanner and an embedded SmartChip that can be read by a tap reader.

IU Mobile App Crimson Card -- This is a digital representation of the physical CrimsonCard. Reading by a tap reader is NOT supported.

Digital Wallet CrimsonCard -- This uses a mobile device (Apple iPhone, AppleWatch, or Android phone) to transmit an ID that can be read by a tap reader. No barcode is viewable on these ID's, so reading by barcode scanner is NOT supported. 

Driver's License -- This should only be used when the patron doesn't have their CrimsonCard. It will be used to verify the patron's identity. Then, we'll have to search the patron by name or email address in Workflows to proceed to checkout.

IU Libraries Borrower's Card -- This card is used by Indiana Residents only. The card will have a barcode that can by scanned by the old barcode scanner.. 

Remember, the old barcode scanners will still be used for items with library barcodes, such as books & keys.

5. New Digital ID Readers & the Public Printers -- The new digital ID reader has been put on all of the public printers. 

6. LibCal (Room Reservation Program) Multi-Factor Authentication -- Over the summer, Springshare (the company behind the room reservation program) instituted a multi-factor authentication when logging into any of the LibApps products. This affects us when logging into the room reservation system as well as library chat. Procedures have been written up for how circulation supervisors will handle this. Be aware, the shortcut to Outlook on the desktop links to the library account. Please do not use it and/or log out of it. If you must check your own outlook account, please use an incognito window. 

7. Room Reservations Starting Time Change for First Reservation of the Day -- This academic year, room reservations will start 15 minutes after the library opens. We're trying this out to hopefully off-set some of the stress & anxiety with the chaos between getting the library opened and patrons checked into their rooms.

Important Library Things to Know as the Semester Starts

 


Class or Work Schedule Changes -- Has your class schedule changed (added or dropped class) and you’ll need to adjust your work schedule for the remainder of the semester? For those issues/questions, please see Matt or send him an email.

Running Late to Work -- If you are running late to work a shift, please call the library at 812-855-1957 to let the supervisors know. Please do not text or call any individual supervisor directly.

Unable to Work a Shift & Need Someone to Cover a Shift for You -- We use a email listserv for posting of sub notices, so that all staff, including supervisors, will see it and know about potential holes in the schedule. You will be added to the list, by a supervisor and receive an email. The list address is busp-subs-l@list.iu.edu. Please don't use any list address with the word "request" in it.

When requesting a sub, please include in the email the date & time of the shift you need covered. 

If you are able & willing to pick up a shift for a co-worker, simply reply to their email indicating you can work for them. If you discover later that you are unable to work, you will need to put up sub request.

Remember, you can't work more than 29 hours each week. Also, you can't work when you are scheduled to be in class.

Timesheet Issues -- If you forgot to clock in/out or need to have your timesheet fixed in some way, please see Jeri or send her an email.

Questions about Payroll -- Please reach out to either Jeri or Matt. They can help you figure it out.

Staff Directory -- Each semester, we put together a list of all library staff’s phone numbers & email addresses. This is an internal document for staff use only. We do suggest you put the phone number for the library along with the numbers of all full time staff in your phone contacts. So if you need to call the library at any time you’ll already have the number and if the staff gives you a call or text for any reason, you’ll know it’s us and not a spam call.

Birthdays -- Celebrating birthdays is always fun, right? Here at Business/SPEA we celebrate staff birthdays on the first Wednesday of each month complete with treats and a sign listing who had/had a birthday that month. Be on the lookout for someone asking about your birthday for the official list.

Questions about the Library, Your Job or Most Anything -- Please feel free to reach out to any of the supervisors. Remember, there are no dumb questions. Think of it this way, you won’t know an answer unless you ask us. We’ll do our best to answer them or find someone who can help.

Sometimes, you may get asked about the hours for our library. Naturally, each of us know our own work schedules, but do we always know when the library is open each day of the week?

Welcome to the Fall Semester


Welcome or Welcome Back to the Business/SPEA Library! 
 

If you are a returning employee, we hope you had a great summer and are excited to start a new semester. If you are a new employee, welcome to the staff, we’re glad to have you here. We hope you will enjoy being part of our staff.

The Business/SPEA Library is the library that supports the Kelley School of Business & the O’Neill School of Public & Environmental Affairs (SPEA). Organizationally speaking, our library is part of the IU Libraries. Physically speaking, our library is located in the SPEA building. We are a non-traditional library, meaning the library is designed for collaborative work and tends to get rather loud. At times, it will sound a lot more like your middle school cafeteria at lunch time than a library. We are the second busiest library in the IU Libraries system. We have a small, but mighty staff that keep this library going. We prioritize teamwork & great customer service.

The purpose of this blog is to share information to the staff without having to clutter your inbox with extra emails. One of your job expectations is to check the blog during each of your shifts.
