Oh boy, oh boy...I-Core!

Prepare yourself!  I-Core begins on Tuesday, Dec. 1, and ends on Thursday, Dec. 10.  The wait list for rooms may get long, and we'll be busy, busy, busy.  On the plus side, there are no room reservations during I-Core time, eliminating our need to check the red notebook before handing out keys to 154. 156, 158, and 160.

Best wishes to Clayton, Nell, Suzy, and any others from BUSP who are participating in I-core this semester.  You'll come through like champs!

Graduating? Leaving Us?

Please let me (treynold@indiana.edu) know if you will be graduating at the end of this semester or leaving BUSP for any other reason.  We're going to hate saying good-by, but if graduation is in order or something else good in life calls you away, we will be happy for you.

When Room Keys Are Returned...

We've been noticing multiple slips for the same rooms in our box holding slips for rooms checked out.  This means at least one of us isn't following our procedures for when keys are returned.  To get rid of any confusion, here is a review of what you do when a key is returned to the desk:

--Check the room key in.
--Pull the slip that corresponds to the room key from our wooden box on the top shelf.
--Check the room to make sure all is in order.
--Put your name in the "inspected by" box on the bottom of the slip and add the date and time.
--Place the completed slip in the wooden box on the middle shelf.
--Place the room key into the proper basket.

Got questions on this procedure?  Please check with a supervisor.  Before you know it, I-Core will be upon us.  To avoid confusion and chaos, it is important that we all follow all of our procedures associated with room keys.  It'll make our lives much less stressful (anybody need more stress?) and allow us to take good care of our guests.

Our November Birthday Celebration

Since the Thanksgiving holiday cuts our time together short this month, we'll be eating our November cupcakes next Wednesday.  Here's who we'll be celebrating:

Sydney (November 11)
Erin C. (November 18)

Happy birthday to you, Sydney & Erin!

Scheduling for Spring Semester

It's come to my attention that some of you are already scheduling classes for Spring Semester.  As soon as you know your class schedule, please request work hours using the form found in the box on our break tables.  After you've completed the form, please give it to me (Terry) or put it in my mailbox.

Thanks for all.  Happy Spring Scheduling!

Bloomberg

The IC is fortunate to have two dedicated Bloomberg terminals for our guests to use to access  financial information.  They are located on the wall between the hallway leading to staff offices and the cafĂ© entrance (north side of the IC).

Guests can reserve times to use the Bloomberg, just as they can reserve times for our group rooms.  If a guest comes to the service desk and asks you about Bloomberg sign-up sheets, refer them to the reference desk.  That's where the sheets are currently kept.

Jelena Caught in the Act

Jelena was Caught in the Act of  going above and beyond the 1st mate's duties.  Wile checking the staplers to make sure they were full, she noticed our suggestion box was out of paper for posting suggestions.  She brought this to her supervisor's attention, so the paper could be replenished.

Thank you, Jelena, for making sure our guests have a voice in our operations. Your attention to detail is much appreciated!

It's about TIME

TIME #1) Ever notice that TIME doesn't always record your shift exactly?  Our timekeeping system has a built-in rounding mechanism.  It will round your clock-in and clock-out times as follows:

                Rounded Time                  Actual Clock Time

                :00                                          :57-:02
                :06                                          :03-:08
                :12                                          :09-:14
                :18                                          :15-:20
                :24                                          :21-:26
                :30                                          :27-:32
                :36                                          :33-:38
                :42                                          :39-:44
                :48                                          :45-:50
                :54                                          :51-:56

TIME #2)  Most of you are remembering to use the missed punch feature when you forget or are unable to clock in.  Please do remember that each time you use the missed punch feature, you need to record a reason why in the note section.  Your note doesn't have to be elaborate -- a simple "I forgot" or "I was helping guests at the desk" will do, but something has to be in the note field before I can approve your missed punch.  That said, please do your best to clock in before you begin working so the missed punch feature is used as infrequently as possible.

Have any questions about our timekeeping system?  Just let me know.

Time to Talk Turkey

Thanksgiving will be upon us in practically the amount of time it takes to blink an eye.  Here is what BUSP's calendar looks like for the holiday:

November 20 (Fri.):  7:30 a.m. - 5:00 p.m.
November 21 & 22 (Sat. & Sun.):  Closed
November 23 & 24 (Mon. & Tues.): 8:00 a.m. - 5:00 p.m.
November 25-28 (Wed. - Sat.):  Closed
November 29 (Sun.): 5:00 p.m. - 12:00 midnight

You are responsible for your shifts up until 5:00 p.m. on Friday, November 20.  Your responsibility picks up again at 5:00 p.m. on Sunday, November 29.  Please post sub notices well in advance for any shifts you cannot meet.  Anyone subbing on Sunday, Nov. 29, will receive one full hour of time bank credit for each hour subbed instead of the usual 1/2 hour credit.  If your time bank needs a boost, this is a good time to add hours.

Safe travels to those of you leaving Bloomington for the holiday, and Happy Thanksgiving to everyone!

Ivona Caught in the Act

Ivona was Caught in the Act last week.  Because of a scheduling glitch this semester, Ivona routinely works at the desk alone for an hour each Tuesday afternoon. It is a very busy time at the service desk, but she handles it beautifully making very sure our guests are greeted and served well.  She also carefully attends to all the 1st mate's duties during that hour.  Last Tuesday, she also took the time to inform a supervisor about a possible location within the building where guests might conduct phone interviews.  Her lead didn't pan out, but the fact that she took the time and was interested in our guests enough to pass this possibility on is commendable.

Thank you, Ivona!  Your conscientiousness and the attention you give our patrons is gratefully appreciated.
